Privacy notice
ProvenHand is a work-history platform for pipeline, midstream, and industrial field workers. The product works by letting you list the jobs you ran and ask the people who were there to confirm them, so sharing certain information with the people you choose is the point of the service. This notice says exactly what we collect, what we do with it, who sees it, and what you control.
What we collect
Account: your phone number (it is your login), your name, email address, and region. Profile: work history entries (projects, spreads, dates, roles, employers, chiefs), certifications and safety credentials, skills, equipment, availability, photos, and anything else you add. Files: resumes and credential documents you upload. Activity: invitations, confirmations, corrections, disputes, vouches, messages, marketplace listings, and reports. Technical: device and log data (IP address, browser type, pages viewed, timestamps) and first-party usage events we record ourselves to understand what works.
Contact details you give us about other people
When you invite a chief or coworker, you give us their name and their email address or phone number. We use that contact information only to deliver your invitation and at most one reminder, and to honor opt-outs. We do not sell it, build marketing lists from it, or message those people about anything other than your invitation. When an invitation is claimed, expires, or the person opts out, the contact details are removed from the invitation record. Anyone can stop all invitations to their address or number using the opt-out link in the message, and text recipients can reply STOP.
How we use information
To run the service: creating your profile, delivering invitations, recording confirmations, powering search and messaging, and showing you what is happening on your account. To keep the platform honest: malware scanning of uploads, moderation of public content, rate limits, and fraud prevention. To communicate: login codes, transactional email, and the notifications you choose. To improve the product: our own first-party analytics. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Automated resume reading
If you upload a resume, we send the file to an automated document analysis service (Anthropic) to draft work-history entries from it. The provider processes the file to return results to us and does not use your file to train its models. Nothing is saved to your profile until you review the drafted entries, and you can remove the resume from your account at any time.
What other people see
Someone you invite sees exactly what you listed about the job you shared with them: your name, the project, dates, and role. When a job is confirmed, the confirmation appears on both profiles. Your public profile page shows what your privacy settings allow, and you can adjust visibility in Settings. Confirmation on ProvenHand is a statement by a coworker who was there. It is not an employer verification, a background check, or a government record, and we present it as exactly what it is.
Service providers
We use a small set of companies to run ProvenHand, each only for the job named: DigitalOcean (hosting and file storage), Cloudflare (domain, network, and routing of inbound email), Twilio (text messages such as login codes), Brevo (transactional email), Anthropic (resume reading and automated content moderation), and Stripe (payments, when paid features are active). These providers process data for us under their contracts; they do not get to use it for their own purposes.
Text messages
We text you login codes when you sign in; message frequency varies with your use, and message and data rates may apply. Reply STOP to any ProvenHand text to stop texts to your number, and HELP or support@provenhand.com for help. Note that stopping texts blocks login codes too, since your phone number is your login.
Cookies and similar technology
We use first-party cookies that the service needs to work: a session cookie that keeps you signed in and a security cookie that protects forms. We also use your browser’s local storage for small conveniences like a draft you have not sent. We run our own usage analytics rather than a third-party tracker, and we set no advertising or cross-site tracking cookies. Because of that there is no cookie consent banner: nothing optional is being set. If that changes, this notice and the site will change with it.
Retention and security
Login codes expire in minutes. Invitations expire in 30 days and shed their contact details when closed. Database backups are kept for 30 days. Profile content stays as long as your account does, and some records survive deletion where we need them for security, dispute handling, or legal obligations. Uploaded private documents are encrypted at rest, transport is encrypted, uploads are malware-scanned, and access is role-checked, but no system can promise absolute security.
Your choices and rights
From Settings you can edit your profile, control notifications, control what your public page shows, download a copy of your data, and permanently delete your account. Depending on your state (for example California, Colorado, Connecticut, Texas, or Virginia) you may have legal rights to access, correct, delete, or receive a portable copy of your personal information, and to be free from discrimination for exercising them. The in-app tools cover these; you can also email support@provenhand.com and we will respond to a verifiable request within the time your state requires. We honor opt-out preference signals such as Global Privacy Control where they apply, and since we do not sell or share personal information for targeted advertising, there is nothing further to opt out of today.
Children
ProvenHand is for working adults. It is not directed to anyone under 18, and we do not knowingly collect information from anyone under 18. If you believe a minor has an account, contact us and we will remove it.
